Collections & Payments
Track tour fees, side game fees, payments, and collector transfers.
Overview
The collections system tracks all money for an event — tour fees, side game entry fees, and payouts. It provides a three-tab dashboard: Totals Summary, By Collector, and Collection Table.
Tour Fees & Side Game Fees
Each event can have a tour fee (general entry fee) and separate side game fees for each active game. Players see their total amount due on the collections page.
Payment Methods
Collectors can mark payments using five methods: Cash, Zelle, Venmo, Check, and Other. The method is recorded for each payment for audit purposes.
Mark All Paid
The "Mark All Paid" button quickly settles all of a player's outstanding fees. It allocates the payment to the largest fees first, with any excess tracked as change (overpayment).
Tips
- •Use "Mark All Paid" when a player hands you a lump sum covering all their fees.
Collector Transfers
When multiple people collect money during an event, they can transfer collected balances to a primary collector. Every transfer is logged with an audit trail showing who transferred what to whom.
Change Management
If a player overpays, the excess amount is tracked as "change". Collectors can see each player's change balance and clear it once the money has been returned.
Roles
Three roles can manage collections: the Tour Commissioner (league-level), league Admins, and designated Collectors assigned to a specific event.
